Employee Learning Data Policy
Effective date: 1 August 2026 • Version: 1.0
This policy explains exactly how SD Academy collects and uses your learning data.
1. Purpose of This Policy
This document explains in plain language what learning data SD Academy collects from you, who can see it, how it is used, how long it is kept, and what your rights are. It is intended to help you understand and trust the platform.
2. What Learning Data Is Collected
| Data Category | Examples | Why It Is Collected |
|---|---|---|
| Course enrolment | Courses assigned to your profile | To deliver your learning path |
| Lesson progress | Percentage watched / read per lesson | To track completion and resume learning |
| Assessment results | Scores, attempt count, date and time | To validate competency and issue certificates |
| Assignment submissions | Uploaded practical tasks, text responses | For manager review and sign-off |
| SOP acknowledgments | Date and version acknowledged | For compliance and audit trail |
| Certificates | Course name, date issued, certificate ID | Permanent verification record |
| Login activity | Date, time, device, IP address | Security and access audit |
| Support tickets | Issue described, messages exchanged | To resolve your support request |
3. Who Can Access Your Learning Data
| Role | What They Can See |
|---|---|
| You (the employee) | All your own learning history, scores, certificates and progress |
| Reporting Manager | Your completion status, overdue learning, assignment submissions requiring sign-off, assessment scores (for managed team) |
| HR / L&D Administrator | Full learning records for all employees in their assigned company/department; completion reports; certificate registry |
| Group Super Admin | System-wide reports; audit logs; administrator action logs |
| IT / System Admin | Security logs only — no access to learning content or scores |
4. Does My Score Affect My Appraisal or Promotion?
Completion of mandatory courses is a baseline employment requirement and will be visible to your manager and HR. The direct use of assessment scores in formal performance reviews or promotion decisions varies by company within the SD Group. This decision is made at the company HR policy level, not by SD Academy. Contact your HR team to understand the specific policy that applies to you.
SD Academy will never share your individual scores with anyone outside the SD Group or with third parties.
5. Data Retention Schedule
| Data Type | Retention Period |
|---|---|
| Active employee learning records | Duration of employment |
| Post-resignation records | 3 years after last working day |
| Certificate records | Permanently archived (for verification) |
| Assessment attempt logs | 3 years |

- You may request a copy of your learning history and certificates before your last working day by contacting support@sdacademy.co.in
7. How to Request a Data Correction
